About this gateway
The AFIS 2026 summit team uses this gateway to manage delegate registration, accreditation, service access and support. This policy describes the information handled through those activities.
Information you provide
The gateway records your name, email address, phone number, country and organisation. It also stores your registration status, guest category, credential records, support requests and replies. Service verification records include the guest reference, service, time and access outcome.
Passwords are stored as hashes. Your device time zone may be used in your browser to suggest a country; you can change the suggestion before submitting a form.
How information is used
The summit team uses this information to review registrations, issue and verify passes, apply category permissions and usage limits, respond to requests, provide email updates when enabled, and understand service demand. Administrative activity is recorded to support accountability and resolve problems.
Access and service providers
Authorised staff access information according to their system permissions. The configured hosting and email providers process information needed to operate the gateway and send notifications. Links to immigration, accommodation and transport websites lead to separate services with their own privacy practices.
Downloading a pass creates a copy on your device. Adding a pass to a supported wallet also involves the wallet provider. Keep your pass and sign-in details secure.
Cookies and account security
The gateway uses session and security cookies to keep you signed in and protect form submissions. Signing out ends your current session. Access to an account can be restricted by an administrator.
Records and your information
Registration, support and service records are kept for summit operations and necessary administrative follow-up. Removing an account or delegate from an active list may retain historical support, verification and audit records.
You can ask the summit team to review, correct or remove your information, or explain how it is used. Some records may need to be retained for administration or applicable obligations. Avoid including unnecessary sensitive information in support messages.
Questions and updates
Contact the summit team through the Helpdesk for questions about your information or this policy. General information about data protection in Uganda is available from the Personal Data Protection Office.
Changes to this policy will be published here with an updated date.
